WHAT WE DO
Booking Automation for Gyms
Most gyms do not have a lead problem. They have a response problem, and it shows up at 9 p.m. on a Friday when the person who just filled out your form is holding their phone waiting for somebody to answer. The StrongArm Booking Bot answers that person, talks to them the way you would, and puts them on your calendar before you ever see the notification.
The bookings that die after you lock the door
Look at when your leads actually come in. Plenty of them land after the last class, on a Saturday morning while you are coaching, or on a Sunday when the gym is closed and you are with your family. By Monday that person has already walked into somebody else's front desk.
None of that is a marketing failure. The ad worked. The lead came in ready to ask about a free class and got silence until morning, which reads to them like you did not want the business.
The booking bot answers 24/7. Nights, weekends, holidays, the middle of your 6 a.m. class. There is no queue and no window where a lead sits there unanswered.
A bot trained on your voice, not a generic script
Trained on your gym means something specific. We load the bot with how you actually describe the place, what your intro offer is, what it costs, what happens on a first visit, your schedule, and the questions your front desk fields over and over.
So when someone asks whether you run a 5:30 class or whether their bad knee is going to be a problem, the answer comes back in your language, with your offer attached. Not a canned line about scheduling a consultation.
It also handles the messy part of a real conversation. People ask about price before they ask about time. They go quiet and come back two days later. The bot stays in that thread and keeps steering toward a booked visit.
Missed calls and follow-up texts feed the same conversation
When a call comes in and nobody picks up, an instant text goes back out to that number. The person who called while you were racking plates gets a message in seconds instead of a voicemail box they will never check.
The follow-up texts run into the same place. Anyone who replies gets handed into a conversation with the bot, so a reply at 11 p.m. becomes a booked appointment a minute later instead of a task sitting on your list for tomorrow.
Every one of those threads lives in one inbox. You can read them whenever you want. Most owners stop reading them after the first month.
Your calendar stays true
Bookings are added to your calendar automatically. When someone reschedules, the calendar updates. When someone cancels, the slot opens back up.
That matters more than it sounds. The usual failure in gym scheduling is a lead grabbing a time that is already taken, or a coach showing up for an intro that got moved by text three days earlier. The calendar you look at in the morning is the same calendar the bot is booking against.
You keep your own availability rules. Block out the hours you coach, cap how many intros can land in one day, and the bot works inside that.
Confirmations, reminders, and people actually walking in
A booked appointment is not a person in your gym. The gap between the two is almost always the same thing. They forgot, or they got nervous and nothing reminded them why they signed up in the first place.
A confirmation goes out when the appointment is made and reminders go out before it. That cuts no-shows. We are not going to put a percentage on a marketing page, because the number moves with your offer and your market, and you will see your own inside the first month.
If someone still does not show, they do not fall out of the system. They drop back into follow-up and get another shot at a time that works better.
What happens after they sign
Once a lead becomes a member, an automated retention funnel starts. The point is that a new member hears from your gym through their first weeks without you having to remember who joined when.
After roughly 15 to 25 check-ins, depending on where you want the trigger set, that member moves into a review generation funnel. The ask lands after they have felt something change, not on day two when they have nothing to say yet.
The same check-in count opens a refer-a-friend funnel. Your members get asked to bring somebody they train with, and anyone they bring enters the same booking flow as a cold lead off an ad.
What you have to do
Close to nothing. You hand over your offer, your schedule, and calendar access. We build the bot, write the conversation, wire the reminders, and sit on the first weeks of real threads to tighten the answers.
Both founders work on every account. That is not a growth plan, and it is exactly why the roster is capped at 50 clients. We are based in North Carolina, out of Raleigh and Charlotte, running this for gym owners in over 22 states.
Your job stays what it was: coaching, and closing the people standing in front of you. The bot handles everything up to the moment they walk through the door.
If your bookings are dying in the hours you are not on your phone, this is the fix. See what the booking bot looks like running on your gym.
